Create a Smartflow User
You can create users in Smartflow manually or automatically with auto-provisioning. Users can be authenticated by Smartflow or by SSO using a third-party identity provider such as SAML2, LDAP, or OAUTH2. Additionally, you can manage user permissions (roles and group assignments) manually in Smartflow or automatically using a directory service such as LDAP or AAD. Use the following table to view the appropriate procedure for your environment.

Create an Application User
Use this procedure to manually create a user in Smartflow that is authenticated by Smartflow and managed manually in Smartflow.
- In Admin
, from the Access Admin Function primary drop-down list, select User & Company. From the secondary drop-down, select Add/Edit User, and then click Go. - In the Add/Edit User page, click Add New User.
- Select Application User.
- To send the users an email with a link that will allow them to set their own passwords, select Send welcome email.
- To activate the user, select Enable user account.
- In the Date Format Setting drop-down list, select the data style to show the user.
- Complete the detail fields for the user, including a Smartflow password.
- If the user is a member of a specific Company defined in Smartflow, select the company.
- Click Confirm to save the changes and close the Add User page.
Create an External User
Use this procedure to manually create a user in Smartflow that is authenticated by SSO and managed manually in Smartflow. In addition to creating users, you must also configure SSO. For more information, see Configuring Single Sign-On (SSO).
- In Admin
, from the Access Admin Function primary drop-down list, select User & Company. From the secondary drop-down, select Add/Edit User, and then click Go. - In the Add/Edit User page, click Add New User.
- Select External User.
- To send the users an email with a link that will allow them to set their own passwords, select Send welcome email.
- To activate the user, select Enable user account.
- In the Date Format Setting drop-down list, select the data style to show the user.
- Complete the detail fields for the user.
- If the user is a member of a specific Company defined in Smartflow, select the company.

Manually Create an External User with an External Directory
Use this procedure to manually create a user in Smartflow that is authenticated by SSO and managed automatically (roles and group assignments) using a Directory Service.
- Add your directory service to Smartflow. For more information, see Configure Directory Settings.
- Add your SSO connection to Smartflow. For more information, see Configuring Single Sign-On (SSO).
- Map your Directory Service roles and groups to Smartflow roles and groups. For more information, see Using Directory Groups.
- In Admin
, from the Access Admin Function primary drop-down list, select User & Company. From the secondary drop-down, select Add/Edit User, and then click Go. - In the Add/Edit User page, click Add New User.
- Select External User.
- Select the Use External Directory? check box.
- For Domain, select a domain from the drop-down list.
- Click Select User From Directory, search and select a user, and then click Confirm. Several of the user detail fields are automatically populated.
- To activate the user, select Enable user account.
- In the Date Format Setting drop-down list, select the data style to show the user.
- Complete the remaining fields for the user.
- If the user is a member of a specific Company defined in Smartflow, select the company.
- Click Confirm to save the changes and close the Add User page.
Automatically Create Users with an External Directory
Use this procedure to automatically create Smartflow users from a Directory Service that are authenticated by SSO and managed automatically (roles and group assignments) using a Directory Service.
- Add your directory service to Smartflow. For more information, see Configure Directory Settings.
- To automatically create Smartflow users from the Directory Service, select the Enable Create User via Synchronization check box on the Connection Settings tab.
- Add your SSO connection to Smartflow. For more information, see Configuring Single Sign-On (SSO).
- Map your Directory Service roles and groups to Smartflow roles and groups. For more information, see Using Directory Groups.
