Workspace Add an Additional Reviewer or Approver

When you are reviewing and marking up a file it is sometimes useful to share the file with other people or departments who were not included in the original project schedule. You can invite additional reviewers from either a review or an approval task. When you invite another user to review or approve the file, the user is given a task in the same project cycle as your own. Their task will be given the same deadline and runs in parallel to your own task.

Note: The ability to add a reviewer approver into an approval cycle depends on your security rights and how your Smartflow system is configured.

To add an additional reviewer or approver to a task, do the following.

  1. In Workspace  , click the Tasks tab.
  2. You can filter the list of your tasks using the drop-down menus.
  3. In the Task Name column, click the task. The file for you to review or is displayed in the DaVinci tool.
  4. Click Invite on the review or approval task page.
  5. In the Invite Users to My Current Task dialog box, select Hard ApprovalClosed Different DaVinci Session Types are called depending on the type of interaction - for example if it is a view only session (such as from Project - View Files when a task is not active), an Approval Session or a Review and Annotate only session., Soft ApprovalClosed Enforce final summary comment on Approve, Reject or Approve with Changes at the end of an Approval Task. Also configure option for Rejection Reason on Rejection., or Review Task from the Task type drop-down list.

    Note: The task types available depend on how your Smartflow system is configured. For more information, see Configure Task Invite Settings.

  6. In the Enter new task name field, enter a name for the task.
  7. Select a role from the Assign role drop-down list.
  8. Select a user from the Assign role owner drop-down list.
  9. Click Confirm to display the new task to be added.
  10. If you want to add additional tasks, repeat steps 5-9 above for each additional task.
  11. If you want your active task to be dependent on the new task(s), select Make my active task become dependent upon the invited task/s.
  12. Click Invite.
  13. Click OK in the confirmation dialog box.
